Hanover Discovery supplemental privacy notice.
This page supplements the Hanover CRM Privacy Policy and applies whenever you visit this site, interact with the live Discovery or Capture demos, or otherwise engage with the Hanover Discovery product. The terms used in the main policy (including “Cleversteam”, “we”, “us”, “our” and the rights, retention and transfer provisions) have the same meaning here. Where this supplement and the main policy conflict in respect of Hanover Discovery, this supplement takes precedence.

What Hanover Discovery is
Hanover Discovery is a product built on Hanover CRM that helps international education providers and recruiters be cited by chat-based search engines, capture applicants in their own brand, and route the captured data into the systems they already use. It comprises:
- A marketing site describing the product and offering ways to contact us.
- Live demos hosted on Render at
program-discovery.onrender.com(Discovery) andapplication-form-prototype.onrender.com(Capture). The public demos accept sample input only and should not be used with real applicant data. - A live product delivered to our customers (international education providers, recruiters, agents and sponsors), which they configure and brand for their own applicants. Applicant data captured through a customer's deployment is processed by us on that customer's behalf under our Data Processing Agreement.
Who controls your information
Hanover Discovery involves two distinct data flows that have different controllers. The table below sets out who is in control of what.

In short: when you are a visitor to our marketing site, a prospect, or a pilot signatory, Cleversteam Limited is the controller and the main privacy policy applies. When you are an applicant interacting with a customer's branded Discovery surface in production, the customer (and any onward sponsor system) is the controller, and Cleversteam is acting as a processor. If you are an applicant and want to exercise a right over your data, please contact the provider, recruiter or sponsor whose brand you applied through in the first instance; we will support them in responding.
Information collected through Hanover Discovery
In addition to the categories of personal data described in the main policy, Hanover Discovery involves:
- Discovery search interactions — free-text intent queries you type and the programs surfaced in response.
- Capture application data — name, email, program, dates, eligibility-relevant fields and any additional information requested by the customer in their conversational or form-based capture flow.
- Partial-capture state — where a Capture session is abandoned, we may retain field-level state so a resume link can be sent. Customers can configure how long partial captures are retained and when they are deleted.
- Routing metadata — destination identifiers, delivery timestamps and per-destination success / failure status, used to provide an audit trail to the customer.
How captured information is used and shared
When applicant data is captured through a customer's Discovery deployment, we use it solely to deliver the service to that customer: storing the application, routing it to the destinations the customer has configured (Hanover CRM, the customer's own CRM or marketing tool, partner sponsor systems for J-1 placements and DS-2019 issuance, custom webhooks), and providing operational support.
We do not use applicant data to train AI models, to enrich profiles for advertising, or for any purpose beyond delivering the service, except where required by law or as expressly permitted by the customer's instructions in the Data Processing Agreement.

The table below lists sub-processors that are specific to Hanover Discovery, in addition to those listed in the External Third Parties section of the main policy.

International transfers and security
The international transfer mechanisms and security commitments set out in the main policy apply to Hanover Discovery. Customer-controlled applicant data captured through Hanover Discovery is held in the same hosting region as the customer's Hanover CRM tenant unless the customer requests otherwise.
Retention
For marketing-site visitor data, the retention periods in the main policy apply. For applicant data captured by a customer through Hanover Discovery, the customer determines retention in its own privacy notice and instructions; on termination of the customer relationship we delete or return that data in accordance with the Data Processing Agreement.
